What rights do you have regarding your personal information?
Upon request, you can:
- Withdraw your consent to the use or disclosure of your personal information;
- Access or correct your personal information;
In most cases, refusing to give or withdrawing your consent means that we will no longer be able to process your application. Otherwise, we will inform you of the consequences of such refusal/withdrawal.
CDMV attaches great importance on your privacy and is committed to protecting your personal information.
What is the scope of this notice?
This notice applies to the personal information that you provide to CDMV or to a third party acting on our behalf as a job candidate or contractor at CDMV.
It describes how we collect, use, disclose, and protect your personal information when you apply to work with us. It also explains how you can exercise your rights, for example, to access or correct your personal information.
What is personal information?
Information is considered personal when it can directly or indirectly identify you, either on its own or when combined with other information. Think, for example, of your name, contact details, experiences listed on your resume, social insurance number, identifiers, health status, or criminal record.
What personal information do we collect and why?
To apply for a position or when establishing your contract, we collect the following information about you:
- Identity information: name, address, gender, date of birth, etc.;
- Your contact details: address, phone number, email address, etc.;
- Resident status, citizenship, or work permit status;
- Your work experience and education;
- Curriculum vitae.
To continue the hiring process or when establishing your contract, we collect the following information about you:
- Interview notes and your performance;
- If your interview takes place in our premises, your movements may be captured by our surveillance camera;
- If the position requires it, conduct a criminal background check, credit check, verify your education level, and check your professional references.
This information is collected for the following purposes:
- Establish, administer, and terminate your job application file, for example, creating a profile for you in our systems, updating it, and deleting it;
- Analyze your profile in relation to the advertised position;
- Make decisions regarding your application, including inviting you for an interview;
- Inform you of our decision regarding your application;
- Evaluate the remuneration that could be offered to you if you are hired;
- If your application is not retained (and you have consented), contact you to propose new job opportunities that may match your profile.
Some CDMV employees have access to personal information provided that they have the authority to access it and that it is necessary for the performance of their duties, particularly the human resources team and, as appropriate, the manager concerned by your application.
We do not use any exclusively automated technology such as artificial intelligence to process your application.
How do we obtain your consent?
From you
In general, we will ask for your consent when you start the process of submitting your application online. To refuse the collection, do not provide your personal information.
If we want to use your personal information for a purpose that was not indicated to you at the time of collection or that is not provided for by law, we will ask for your new consent.
From third parties
We may collect your personal information from third parties, such as references, criminal background check services, credit agencies, educational institutions, etc. In this case, we will ensure compliance with applicable privacy laws.
If you provide us with personal information about another person (e.g., emergency contact), you are responsible for obtaining their consent.
Who do we share your personal information with?
We may disclose your personal information to other organizations such as service providers. In this case, we will strive to protect the personal information disclosed to third parties by entering into contractual agreements with them or asking for written commitments whereby they undertake to adopt appropriate privacy and security practices, procedures, and measures.
The categories of service providers with access to your personal information include providers engaged to:
- Publish our job offers and screen applications;
- Manage the security camera network and building access;
- Verify the information on your resume and/or professional references;
- Verify your criminal background and/or credit history;
- Assist us in career pathing and salary expectations.

How long do we keep your personal information?
We will keep your personal information for as long as necessary to fulfill the purposes outlined in this notice and for a period of three (3) years from the end of the recruitment process to inform you of any job opportunities within the company.
As a public organization, the length of time we retain most documents containing your personal information is determined by the Archives Act.
Where do we keep your personal information?
Your information may be held and used outside of Quebec. We currently store the personal information of candidates in Canada.
What rights do you have regarding your personal information?
If you request information regarding your personal information, we may ask you to provide proof of identity in order to identify you and establish that you are indeed the person concerned by the personal information in question. This identification information will only be used for this purpose.
You have several rights regarding your personal information, including:
- Right of access and rectification:
- You can request access to the personal information we hold about you and obtain a copy of it;
- If any personal information concerning you is inaccurate, incomplete, or unclear, or if its collection, disclosure, or retention are not authorized by law, you can demand that it be rectified.
- Right to refuse/withdraw your consent:
- You may refuse to consent or withdraw your consent to our use or disclosure of your personal information;
- In most cases, refusing to give your consent or withdrawing it means that we will no longer be able to maintain your employment link. Otherwise, we will inform you of the consequences of such refusal/withdrawal.

Once we receive your request, we will respond to you in writing no later than 30 days from the date of receipt.
How do we protect your personal information?
We implement reasonable procedures and security measures to ensure the protection of your personal information, whether it is stored on our servers or with one of our service providers.
Only authorized personnel who need to access your personal information in the course of their duties have access to it.
However, no security measure is absolute or entirely guaranteed. If you have reason to believe that your interaction with us is no longer secure (for example, if you believe the security of the information you have provided to us has been compromised), please contact us immediately at the address indicated in the Contact us section.
Who will assess compliance with this notice?
Our Privacy Officer will independently assess allegations of non-compliance with this notice and determine if corrective measures are necessary, including disciplinary actions that may lead to dismissal.
